Courtside365 is owned by Estrella Works LLC and may be operated under license by an authorized partner. In this policy, "Courtside365," "we," "us," and "our" mean Estrella Works LLC and that licensee. Courtside365 is a private application, available on iPhone, Android and the web, that helps college basketball coaches evaluate high school and transfer-portal prospects. This policy explains what information we collect, where it comes from, how we use and share it, how long we keep it, and the choices and rights people have.
Courtside365 is not a public app. Access is by invitation only: accounts are created by our administrators for college coaches and staff. There is no public sign-up, and prospective student-athletes do not create accounts or use the app.
1. Information About Coaches and Staff (App Users)
When an administrator creates an account for a coach, scout, or staff member, we collect and keep:
•
Name, email address, and login credentials (passwords are stored only in hashed form by our authentication provider)
•
Organization/school and job title
•
Role and account status (coach, scout, or admin)
•
Sign-in activity — timestamps of sign-ins, so administrators can monitor account security
•
In-app activity such as which player profiles you view and the players on your recruiting board (including stages, rankings and lists), used to power features like "recently viewed" and board updates, and to help administrators understand platform usage
•
Private notes you write about prospects. These are visible only to you — not to other coaches and not to Courtside365 administrators
•
Requests you send to our staff (for example, a request for an evaluation) and our replies
•
Searches you choose to save, and whether you want alerts when new players match them. These are visible only to you
•
For Courtside365 staff (scouts and administrators): a record of changes made to player records — what changed and when
•
If you allow notifications on your phone, a device notification token used only to send you Courtside365 alerts
•
Basic technical information needed to run the service, such as your device type and the times of requests, which our hosting providers process to deliver and secure the app
We use this information to provide and secure your account, operate features you use, respond to your requests, prevent misuse, and improve the product. We do not sell coach information or share it for advertising.
2. Information About Prospects (Student-Athletes)
Many prospects in our database are minors. We take that seriously. This section explains exactly what we keep about student-athletes, where it comes from, and why.
Prospect information is entered and maintained by Courtside365 administrators and scouts. Student-athletes do not create accounts, log in, or submit information through the app. The information we maintain about a prospect may include:
•
Name, graduation year (class), position, height, weight, hometown, and state
•
High school, club/AAU program, and (for transfer-portal players) current college
•
Academic information such as GPA and test scores, where provided
•
Contact information: the player's and a parent's or guardian's phone number and email address, and the name and phone number of her high school or club coach
•
Public social media handles and Hudl or video links, where relevant to scouting
•
Scouting evaluations, statistics, national rankings, and recruiting status (for example, a committed school), prepared by our scouting staff
We do not collect dates of birth (graduation year is used instead), Social Security numbers, government IDs, financial information, health or medical information, precise location, or photos of prospects.
Where it comes from. Prospect information comes from publicly available sources (school and club rosters, published statistics and rankings, public recruiting profiles and social media); from players, parents and guardians, and high school or club coaches who share it with us or with recruiting questionnaires, camps and events that share it with us; and from our scouts' own evaluations.
Why we use it. Prospect information is used only to give authorized college coaches organized scouting information for legitimate athletic recruiting — the purpose a prospect and her family reasonably expect when taking part in the recruiting process.
Contact information is handled with extra care. Contact details are kept in a separate, more tightly controlled part of our database. Only active, verified coach accounts and our staff can see them; they are left out of data exports by default; and coaches must agree to use them only for recruiting and in line with NCAA and other applicable contact rules (see our Terms of Service).
Removing or correcting a profile. A player, parent, or guardian can ask us to remove a profile, remove only the contact information, or correct anything we have, by emailing privacy@estrellaworks.com. We may ask a question to confirm the request comes from the player or her family, and we complete requests within 30 days. We keep a minimal note of the request so the player is not added again.
3. How We Share Information
We share information only as described here:
•
With authorized coaches and staff inside the app, according to their role (prospect information is shared with coaches; coach information is visible to our administrators).
•
With service providers who host and operate the app for us under contracts that limit their use of the data to providing services to us (see section 6).
•
Within our business: between Estrella Works LLC and its licensee operating Courtside365, each bound by this policy.
•
For legal reasons: to comply with law, a court order, or a valid legal request; to enforce our Terms; or to protect the rights, safety, or property of prospects, users, us, or others.
•
In a business transfer: if Courtside365 is sold, merged, or transferred, information may transfer to the new owner, who must honor this policy for information collected under it.
College programs may pay for their coaches' access to the App. Beyond that, we do not sell personal information to data brokers, advertisers, or anyone else, and we do not share it for targeted or cross-context behavioral advertising. Coaches may use prospect information only for recruiting, under our Terms, and may not resell or redistribute it.
4. How We Store and Protect Information
Data is stored in the United States with Supabase, our database and authentication provider, and is encrypted in transit and at rest. Access is controlled by role and enforced inside the database itself, not just in the app: coaches can read recruiting information but cannot change it; only administrators and scouts can create or edit prospect records; private notes and saved searches are visible only to their owner; and contact information has its own stricter rules. Staff edits to player records are logged.
No system is perfectly secure. If we learn of a security incident that affects personal information, we will investigate, take steps to contain it, and notify affected people and authorities as required by law.
5. How Long We Keep Information
•
Coach accounts: for as long as the account is active. When an account is deleted, its login, profile, board, notes, requests, saved searches, and activity history are deleted.
•
Prospect records: while they remain useful for recruiting — generally until a few years after the player's high school graduation or after she leaves the transfer portal — or until removed at the request of the player or her family, after which they are deleted or archived and hidden from coaches.
•
Backups and logs: kept by our providers for a limited period for security and recovery, then overwritten.
6. Service Providers
We use Supabase for authentication and database hosting, Vercel to host the web version of the app, Expo to deliver push notifications and app updates, and Resend to send account emails such as password-reset codes. They process data only on our instructions. We do not use advertising or cross-app tracking SDKs, and we do not track users across other companies' apps or websites.
7. Your Rights and Choices
Depending on where you live (for example, California, Colorado, Connecticut, Texas, Virginia, and other states with privacy laws), you may have the right to:
•
Know and access the personal information we have about you
•
Correct inaccurate information
•
Opt out of the sale or sharing of personal information, or of targeted advertising (we do not use personal information for advertising; a prospect or her family can opt out of coach access by asking us to remove her profile)
•
Appeal if we decline your request
•
Not be treated differently for using these rights
We honor these requests for everyone, not only residents of those states. Coaches can delete their own account in the app (Account → Delete Account). Anyone — including a prospect, parent, or guardian — can make a request by emailing privacy@estrellaworks.com. We will confirm we received it, may ask for information to verify your identity or your relationship to the player, and will respond within the time the law requires (and within 30 days for removal requests). You may use an authorized agent, who must show us written permission. To appeal a decision, reply to our response with "Appeal" in the subject line; if you are not satisfied, you may contact your state attorney general.
Do Not Track and Global Privacy Control: we do not track users across other sites or apps or use personal information for advertising, so these signals do not change how the App works. We treat a Global Privacy Control signal sent to us as a request to opt out of any sale or sharing of that person's information.
8. Information We Do Not Collect
•
We do not use advertising trackers, and we do not sell data to data brokers.
•
We do not collect precise device location, contacts, photos from your device, or health information.
•
We do not require prospects to interact with the app in any way.
9. Our Public News Blog
Courtside365 also publishes a public News blog at courtside365.com/news, with articles, event coverage and player features written by our staff. The blog is separate from the private scouting app and prospect database described above:
•
Blog posts are public journalism and can be read by anyone. They may name players and teams, describe games and events, and include photos taken by our staff at games and events or shared with permission.
•
Blog posts never include a player's contact information (phone number, email or home address), and nothing from the private database — such as scouting notes, coach notes or contact details — is published on the blog.
•
Reading the blog does not require an account, and we do not use advertising trackers on it.
A player, parent, or guardian who would like a photo or post about them corrected or taken down can email privacy@estrellaworks.com. We will review the request promptly and remove or edit the content where appropriate.
10. Children's Privacy
Courtside365 is intended only for adult college coaches, scouts, and administrators. It is not directed to children, children cannot create accounts, and we do not knowingly collect personal information directly from children under 13. Section 2 describes the limited information about student-athlete prospects that our staff maintain for recruiting. If you believe we hold information about a child under 13, or about any minor that should be removed, contact us and we will delete it.
11. Not a Consumer Report
Courtside365 is a scouting tool for athletic recruiting. It is not a consumer reporting agency, and information in the app may not be used to decide anyone's eligibility for employment, credit, insurance, housing, or any other purpose covered by the Fair Credit Reporting Act.
12. Changes to This Policy
We may update this policy from time to time. We will change the "Last updated" date above, and for material changes we will give notice in the app or by email before they take effect.
